These Terms and Conditions govern the relationship between the Organiser of the conference and any individual or entity (hereinafter "Participant") who registers for or attends the medical conference in Armenia.
1. Registration and payment
- Registration confirmation: Registration is not complete until payment is received and the Organiser issues a confirmation. The Organiser is not responsible for any issues arising from delayed or failed payment.
- Fees and payment: All fees for the conference are listed on the official registration page. Payment must be made in the currency specified and by the deadline indicated. Failure to pay on time may result in cancellation of registration without a refund.
- Confirmation of professional status: The Organiser reserves the right to request proof of professional qualification from any Participant, especially for medical professionals.
- Cancellation by participant: The refund policy for participant cancellations will be clearly outlined on the conference website. A tiered refund policy based on the time of cancellation is common, with no refunds available within a certain period before the event.
- Event cancellation or postponement: In the event of conference cancellation or postponement due to unforeseen circumstances (force majeure), the Organiser's liability is limited to a refund of the registration fees paid. The Organiser is not liable for any other costs or damages incurred by the Participant.
2. Conference participation
Code of conduct: Participants must behave in a respectful, professional, and ethical manner at all times. They must comply with the laws of the Republic of Armenia and the rules of the venue.
Professional ethics: As this is a medical conference, participants are expected to adhere to the highest professional standards. Any activities or conduct that could bring the medical profession into disrepute or violate medical ethics are strictly prohibited.
Content and intellectual property:
- The conference content, including presentations, slides, and other materials, are the intellectual property of the speakers and the Organiserr
- Participants may not record, reproduce, or distribute conference content without prior written permission.
- By submitting any materials (e.g., abstracts, posters), the Participant grants the Organiser the right to publish and distribute them for conference purposes.
Disclaimer of medical advice: The information presented at the conference is for educational purposes only and is not a substitute for professional medical advice. Participants should not act on any information without consulting a qualified healthcare professional. The Organiser assumes no liability for the medical opinions or advice shared by speakers or other participants.
3. Liability and disclaimers
- Limitation of liability: The Organiser, its affiliates, and their respective employees will not be liable for any indirect, incidental, special, or consequential damages resulting from participation in the conference.
- Travel and insurance: Participants are responsible for their own travel arrangements, including visas, and personal accident and travel insurance.
- COVID-19 and other communicable diseases: Participants acknowledge and assume the risk of exposure to infectious diseases, including COVID-19. The Organiser will follow all applicable Armenian health regulations and is not liable for illness or injury related to such exposure.
4. Privacy and data protection
- Data collection: The Organiser will collect personal data, such as name, email, professional qualifications, and payment information, to manage conference registration and participation.
- Legal basis for processing: The processing of personal data will be based on the Participant's explicit consent and performed in compliance with the Law of Armenia on Protection of Personal Data (2015).
- Use of data: Participant data will be used to manage the event, communicate conference-related information, and, with consent, for promotional materials. Information will only be shared with third parties (e.g., venue, sponsors) as necessary and with appropriate data protection agreements in place.
- Data subject rights: Under Armenian law, Participants have the right to access, rectify, block, or delete their personal data. Requests regarding personal data should be submitted to the Organiser in writing.
5. Governing law and dispute resolution
- Governing law: These Terms and Conditions and all related relationships are governed by the laws of the Republic of Armenia.
- Dispute resolution: All disputes will be resolved through negotiations in good faith. If a resolution cannot be reached, the dispute will be settled in the courts of Armenia.
